members sitting in chairs at the annual meetingIn accordance with the People’s Electric Cooperative (PEC) Bylaws, an Annual Meeting of the Membership is held each year. Commonly referred to as “PEC Day,” it is easily the most important day of the year for the cooperative.

This is the day set aside for you to meet with your Board of Trustees and cooperative employees while enjoying great entertainment, excellent food, and beautiful crafts. On PEC Day, members recognize the benefit of being a co-op member when they receive their capital credit check. Since 1986, over $29 million has been returned to our members based upon PEC’s strong financial condition as determined annually by our bankers and Board of Trustees.

  • Typically held on the last Saturday of September each year, PEC’s Board of Trustees pick the actual date and time.
  • PEC’s 2024 Annual Meeting will once again be held at the Pontotoc County Agri-Plex & Convention Center in Ada on Saturday, September 28, 2024.

Arriving in September 2024 to Your Mailbox

  • Your special invitation to PEC’s Annual Meeting will arrive in September.
  • Be sure to keep the program. You’ll need it to present to registration workers as soon as you arrive. This will automatically enter you in all the day’s prize drawings, including the $1,000 grand prize giveaway at the end of the business meeting. You must be present to win.

2024 Annual Meeting Vendors

  • Craft and food vendors will have their products and services on display in booths all around the arena for everyone to enjoy.

Food Vendors

Applications for 2024 Food Vendors are now open.

  • Applications are reviewed on a first-come, first-serve basis; however, we limit the number of food trucks based on the space available and try to vary the food options at the event. Please note that filling out and submitting a form does not guarantee that you will be selected as a vendor at PEC Day. PEC staff will provide written notice to vendors of their acceptance or waitlist status. All application fees will be returned to vendors not selected.
  • A $50 refundable deposit is required, plus a $50 Early Bird bonus is available. (See application for details.)

  • Food vendors are responsible for obtaining a Temporary Food License on or before September 28, 2024, from the Pontotoc County Health Department in Ada, Oklahoma, as required by law.
  • Vendor can contact the Pontotoc County Health Department by phone at (580) 332-2011 for more information and to ensure county compliance.

Activity/Craft Vendors

Applications for 2024 Activity/Craft Vendors are now open.

  • Inside and outside booth spaces are available.
  • Be sure to fill out and submit a Craft Vendor Application (along with a $30 craft booth reservation fee) if you are interested in being a vendor at this year’s meeting.

Hours

  • Saturday, September 28, 2024, from 9 AM to 1 PM.
  • Vendors are allowed to open as early as 7 AM but are not required to.
  • This is an all-weather event.
  • Vendors must stay with their booth during the above time.

Booth Space

  • Booth space measures 10 feet wide by 10 feet deep.
  • Your vendor booth space will not be assigned until funds, application, and paperwork have been received.
  • Booth assignments will be on a first-come, first-served basis. The vendor’s prior years’ participation in the event does not guarantee assignment of the same booth space. The event organizer reserves the right to relocate vendor booth space if necessary for the good of the event.
  • PEC will attempt to limit direct sales vendors to two per company; however, PEC will not be held responsible in any way for managing the number of direct sales vendors present at the event, nor will PEC be required to notify any vendor of duplicate direct sales registrations as they occur.

Booth Fee

  • 10-foot by 10-foot booth: $30
  • Completed Vendor Application, applicable payment, and/or paperwork must be received by the Event Organizer in order for the booth reservation to be considered complete.
  • Completed applications, applicable payment, and/or paperwork will not be accepted by the Event Organizer after 12 PM, Wednesday, September 25, 2024.
  • If completed application is not received within this specified time frame, said application will become null and void, and said booth space(s) will be offered to another vendor.

Equipment

  • Event Organizer will not provide any equipment to you including tent, tables, service counters, chairs, storage units, and/or any other equipment for the sale of your products.
  • Vendors must provide their own tents, lights, tables, and displays.

Parking

  • The small parking lot on the south side of the convention center building may be used only from 12 PM to 6 PM during early set-up on Friday evening, September 27, 2024.
  • On Saturday, September 28, 2024, PARKING PASSES ARE REQUIRED (no vendor parking) in the small parking lot on the south side of the convention center building.
  • Vendor parking will be available in the parking lot on the north side of the convention center, or in the large parking lot at the main entrance off J.A. Richardson Loop.

Refunds

  • Vendor fees will not be refunded after submission unless this event has been canceled by the event organizer.

Taxes

  • Vendors are responsible for collecting and remitting all applicable sales taxes for merchandise sold at PEC’s 2024 Annual Meeting.
  • Vendors will only be allowed to promote their products and services at their assigned vendor booth space.
  • Vendors will not perform any illegal activities or allow any activity that is illegal, defined by Federal, State, and/or laws of the jurisdiction where this event is being held.

Setup

  • The event begins at 9 AM on Saturday, September 28, 2024.
  • Doors will open at approximately 7 AM on Saturday morning.
  • Vendors should be set up no later than 8 AM.
  • Early set-up may take place between 12 PM and 7 PM on Friday, September 27, 2024.

Take Down

  • Vendor take-down and cleanup will end no later than 3 PM on Saturday, September 28, 2024.
  • Vendors will need to make sure that their vendor space is clean before they leave the premises.

Security

  • An off-duty police officer will be hired to guard the area all night; however, PEC will not be held responsible for your equipment and/or products.

Pets

  • Pets are not allowed, this includes the Agri-Plex grounds and all Agri-Plex parking areas. No exceptions.
  • Do not leave your animals in your vehicle, or animal control will be summoned.
  • Service animals are the only animals allowed at the Agri-Plex during PEC Day with proper paperwork readily available.

Additional Notes

  • Internet services will not be available for vendors at the Pontotoc County Agri-Plex.
  • No smoking is allowed inside or outside of the Agri-Plex facilities during the event.
